Refund & Cancellation Policy

Overview
AnantaHQ ("we", "us", "our") is committed to client satisfaction. This policy sets out the conditions under which cancellations and refunds are processed for AnantaHQ's paid AI services and consulting engagements. Please read this policy carefully before making a payment.
All payments are processed through Razorpay. Refunds are returned to the original payment method within the timelines specified below.
1. AI Consulting Engagements
- Cancellation before kick-off: If you cancel a confirmed engagement at least 48 hours before the scheduled kick-off call, 100% of the advance payment will be refunded.
- Cancellation within 48 hours of kick-off: A cancellation fee equal to one hour of the agreed rate will be deducted; the remaining advance is refunded.
- Cancellation after work has commenced: You will be billed for all work completed up to the cancellation date. Any advance in excess of the billable amount will be refunded within 7 business days.
2. Project-Based Contracts (Fixed Price)
- Milestone payments: Payments made for a completed milestone are non-refundable once the deliverable has been accepted.
- Dispute on deliverable quality: If you believe a milestone deliverable does not meet the agreed specification, you must raise a dispute within 5 business days of delivery. We will work to resolve it; if unresolved, a partial or full refund may be issued at our discretion.
- Early termination: If you terminate a fixed-price project before completion, you are liable for all milestones completed or in progress. Any pre-paid amount beyond that will be refunded.
3. Subscription Plans (Monthly / Annual)
- Monthly subscriptions: You may cancel at any time. Cancellation takes effect at the end of the current billing cycle. No refund is issued for the remaining days of the active billing period.
- Annual subscriptions: If you cancel within 7 days of purchase (and have not used the service), a full refund is issued. After 7 days, no refund is provided; the subscription remains active until the end of the annual term.
- Failed auto-renewals: If a payment fails on renewal, access is suspended after a 3-day grace period. No charge is raised for the grace period.
4. Free Online Tools (IMGTools, PDFTools, DevTools)
These tools are provided free of charge with no registration required. No payments are collected for their use, and therefore no refund policy applies.
5. Non-Refundable Circumstances
Refunds will not be issued in the following situations:
- Service has been fully delivered and accepted.
- Cancellation is due to violation of our Terms of Service.
- The request is made outside the eligible refund window stated above.
- Third-party costs (cloud compute, API credits, licensed data) that have already been incurred on your behalf.
6. How to Request a Refund or Cancellation
To cancel a service or request a refund, email us at billing@anantahq.com with the subject line "Refund Request — [Order/Invoice ID]". Include:
- Your full name and registered email address
- The order or invoice ID
- The reason for cancellation or refund
- Any supporting documentation (if applicable)
We will acknowledge your request within 2 business days and aim to resolve it within 5–7 business days. Approved refunds are processed back to the original payment instrument via Razorpay.
7. Disputes
If you are not satisfied with our response to a refund request, you may escalate via Razorpay's dispute resolution process or contact your card issuer or bank for a chargeback. We encourage resolving disputes directly with us first — it is faster and less disruptive for all parties.
8. Changes to This Policy
We may update this policy from time to time. Changes take effect when posted on this page. Continued engagement with our paid services after an update constitutes acceptance of the revised policy.
